Heating and plumbing

Somebody picks up at four in the morning, and it is not a hold queue

Eleven engineers covering four postcodes, a van stocked with the parts that actually fail, and a number that is answered every hour of every day.

Greycoat Heating Preview — no number is dialling

A preview: the call screen is drawn in this site's own CSS. No phone number is connected and nothing here dials, rings or records.

Phone

What a voice line has to get right that a chat box never does

A caller cannot skim. They cannot scroll back, they cannot see a list of options, and half of them are standing in the dark holding a torch. Voice is the least forgiving channel there is, and the firms that do it well sound slower, not faster.

One question at a time, and a real pause after it

Speech arrives in a line, not a paragraph. Anything that would be a bulleted list on a page has to become a sequence of short questions with room to answer between them, or the caller remembers only the last option offered.

Being misheard is normal, so confirm the things that matter

Postcodes, numbers and spellings come back wrong often enough that any competent voice flow reads them back before acting. An assistant that never repeats anything sounds confident and books the wrong street.

Some calls must stop being a booking

A smell of gas, an alarm sounding, somebody feeling ill indoors — the right behaviour is to break out of the flow entirely and say what to do now. A voice agent that cheerfully takes those details into a callback queue is worse than no voice agent.

Three things worth asking

Each one opens the assistant with the question already sent — you only wait for the reply.

What does a call-out cost at 2am, and is the rate different at night?

Answered from the published call-out list and rates through list_services and list_plans.

No hot water since this morning and the boiler is showing F28 — can someone ring me back today?

Opens the callback form as a card in the chat, already carrying what you said.

Where has GC-2841 got to?

Asks which email it was logged under, then reads it back. Signed in, it goes straight to your own jobs.

What a van comes out for

The jobs the control room books, and what each one runs to

Six call-out types with what they cover, who they are open to and how quickly a van can realistically be there. The assistant works from this list instead of guessing at a job.

No heat, no hot water

The call that gets priority: an engineer diagnoses on site, fixes it the same visit where the part is on the van, and tells you the figure before touching anything.

GC-EMERAnyone, contract or not

Within four hours, any hour, all year

Leak or burst

Isolate first, repair second. Includes tracing a leak under a floor with cameras rather than lifting the whole room.

GC-LEAKAnyone

Within two hours for anything actively running

Annual service

The proper hour-long one: combustion tested, seals checked, condensate cleared, and a written report you can hand a landlord or a buyer.

GC-SERVAll plans

Booked within ten working days

Landlord safety check

Gas safety record for up to three appliances, tenants given notice by the office, certificate emailed the same evening.

GC-GSCLandlord contract or one-off

Booked within a week, earlier if a certificate is expiring

Boiler replacement

Survey, a fixed quote that includes the bits other firms leave off, and two days on site with the old unit taken away.

GC-INSTQuoted per property

Survey inside three days; fitting usually within a fortnight

System flush

For radiators cold at the bottom and a boiler short-cycling itself to death: a full flush, inhibitor, and a magnetic filter fitted while the system is open.

GC-POWERAll plans

Booked within two weeks, one full day on site

The desk

On the board tonight

Callback requests as the control room sees them, with their reference and state. Look one up with its reference and the email it was logged under, or sign in and see your own.

GC-2841open

Boiler locked out on F28, flat above a shop, no heating since 06:00

Assigned to the Crookes van. Fault reads like a failed ignition lead, which is stocked. Customer asked for a ring ten minutes out rather than a doorbell — noted on the job.

GC-2803completed

Yearly service on the same boiler, done before the cold set in

Serviced on 3 September. Combustion figures fine; ignition lead already flagged as borderline in the written report.

GC-2856pending

Two flats in Hillsborough, certificates expire at the end of the month

Waiting on tenant access for the upper flat; the lower one can go in the Thursday round as soon as it is confirmed.

Signed in as the demo customer, the assistant reads these back through my_enquiries. Signed out, it asks for a reference and the email it belongs to.

An abstract rendering of the Greycoat queue

What it costs to call one out

Three ways people pay — a plain call-out rate, an annual cover plan, or a landlord contract billed per property.

Call-out rate

£96 first hour, £42 after

Anyone who would rather pay when something breaks than every month.

  • The figure said before work starts
  • Parts at trade plus fifteen per cent, shown on the invoice
  • No premium for evenings, weekends or bank holidays
  • Nothing owed if the fault cannot be found

Greycoat Cover

£17 a month

Households that would rather the four-in-the-morning call already be paid for.

  • Unlimited call-outs, no excess
  • Annual service included and booked for you
  • Parts and labour on the boiler and controls
  • Priority on the board when the whole city breaks at once

Landlord contract

From £11 per property monthly

Agents and landlords running more than three properties.

  • Safety checks tracked and re-booked before expiry
  • Tenants contacted by the office, not by you
  • One invoice a month across the portfolio
  • Certificates filed and emailed the day of the visit

Ask for a callback

Leave the shape of what you need and when suits — a person calls back inside a working day. The assistant can open this same form for you — that is what open_desk_form does.

What is real here, and what is not

Greycoat Heating is a business invented for this page. Read this before you believe anything else on it.

Genuinely running

  • The assistant in the call screen is a live Busymate AI assistant, grounded in this site's own published pages.
  • The call-out list, the rates and the control-room board come from this demo's own MCP server — real tool calls, not pasted text.
  • The page registers its own actions over WebMCP, so an agent can highlight a call-out type or open the callback form.
  • Signing in as the demo customer is a real identity hand-off: the assistant receives a name and an email address it never asked for.

Seeded, not connected

  • There is no Phone number behind this page. Nothing here places a call, and no speech is captured, transcribed or synthesised anywhere in this demo — the captions plane holds the live text assistant, not a voice one.
  • Greycoat Heating is an invented firm. The address, the telephone number, the email, the engineers, the rates and the jobs are all fictional — nothing here dials or reaches anybody.
  • Callback requests made here live in memory until this demo restarts. No van is dispatched and no controller is paged.

The Phone connection is on the roadmap, not in production — this page shows the assistant half of it working against a seeded board so you can judge the experience before a line exists.

Put this on your own site

The same control room, on your own line

The same assistant, the same page actions, the same identified sign-in — on your Phone setup instead of this one.

  1. Point the assistant at your site so your own rates, job types and coverage become the answers it gives, as published content rather than a re-typed copy.
  2. Expose the board as a small MCP server: the jobs you take, a lookup by reference and email, and a read that only answers for the signed-in person.
  3. Give the callback tool an action card, so the details arrive as one structured record instead of six half-heard sentences.
  4. Write the refusals into the assistant's own instructions before the pleasantries — the calls that must stop being a booking are the ones that decide whether a voice line is safe to switch on.
  5. Add the line last. Speech recognition and turn-taking are the easy half; everything above is what makes the call worth answering.

How to integrate Phone

Frequently asked

The assistant answers from these same words — ask it any of them and compare.

Is there really somebody there at three in the morning?

Yes, and it is a controller in Sheffield rather than a message-taking service in another time zone. The night rate is the same as the day rate — the firm has never charged more for the hours when the heating actually fails.

How quickly does a van get to me?

Four hours for no heat or no hot water, two for anything actively leaking, measured from the call rather than from when a job gets assigned. If the board is genuinely full you will be told a realistic hour, not a comfortable one.

Will the price change once the engineer is here?

Only if you agree to more work. The first hour and the hourly rate after it are fixed, parts are listed on the invoice at trade plus fifteen per cent, and nothing beyond the original fault gets touched without a conversation first.

Do you cover a boiler you did not install?

Almost always. Greycoat Cover takes on any make under fifteen years old that passes an initial service, and there is no exclusion for a boiler somebody else fitted. Anything older gets looked at and quoted honestly rather than refused on principle.
